Due to the technical nature and custom specifications of industrial machinery, each return request is evaluated on a case-by-case basis. Return eligibility depends on the product type, order terms, and the reason for the return. This policy applies to all purchases made directly through our website or sales team.
Returns may be accepted under the following conditions:
The product has a confirmed manufacturing defect that cannot be resolved through repair or replacement parts
The product received does not match the specifications confirmed in the order
The product arrived damaged due to inadequate packaging or carrier mishandling (subject to shipping policy claim)
An explicit return agreement was included in the sales contract or order confirmation
The following items and situations are not eligible for return:
Custom-built or made-to-order equipment manufactured to your specifications
Products that have been installed, used, or modified after delivery
Products returned without prior authorization
Products returned after 30 days from the delivery date (unless otherwise stated in the sales contract)
Spare parts, consumables, and wear items (e.g., blades, filters, belts)
Products damaged due to improper installation, operation, or maintenance by the buyer
Products where the original packaging has been substantially damaged or is missing
Return requests must be submitted within the following timeframes:
Standard products: Within 14 days of delivery
Custom or made-to-order products: Not eligible for return unless otherwise specified in the sales contract
Damaged or incorrect shipments: Within 7 days of delivery
Requests received after the applicable return window will not be accepted. We encourage you to inspect your order promptly upon delivery.
To initiate a return, please follow these steps:
Contact us — Send an email to [email protected] with your order number, a description of the issue, and supporting evidence (photographs, videos, or inspection reports).
Receive authorization — Our team will review your request and, if approved, issue a Return Merchandise Authorization (RMA) number and return instructions. Do not ship any products back without an RMA number.
Pack and ship — Pack the product securely in its original packaging or equivalent protective materials. The RMA number must be clearly marked on the outside of the package.
Ship the return — Return the product to the address provided in the RMA instructions. You are responsible for return shipping costs unless the return is due to our error or a confirmed defect.
Inspection — Once we receive and inspect the returned product, we will notify you of the outcome and process your refund or replacement accordingly.
If you receive a damaged or incorrect shipment:
Visible damage: Note the damage on the carrier’s delivery receipt before signing. Refuse delivery if the damage is severe.
Concealed damage: Contact us within 7 days of delivery with photographs showing the damage and packaging.
Incorrect items: Contact us within 7 days of delivery with your order number and photographs of the items received.
We will arrange for the return of damaged or incorrect items at our expense and ship replacements or process a refund as quickly as possible.
Once your return is received and inspected, we will notify you of the approval or rejection of your refund. Approved refunds will be processed within 14 business days and credited to the original payment method used during the purchase.
The refund amount is calculated as follows:
Full refund: Product price paid, if the return is due to our error, a confirmed defect, or damaged/incorrect shipment
Partial refund: Product price less a restocking fee (typically 15–25%) for eligible returns initiated by the buyer. The restocking fee covers inspection, testing, and repackaging costs.
The following charges are non-refundable:
Original shipping costs (unless the return is due to our error)
Customs duties, taxes, and brokerage fees paid at destination
Return shipping costs (unless the return is due to our error)
We offer exchanges for defective or incorrect products. If you wish to exchange a product for a different model or specification (rather than receiving a replacement for the same item), please initiate a return for the original product and place a new order. Price differences between items will apply.
Products under warranty that develop defects during the warranty period are handled under our warranty policy rather than this return policy. Please refer to the warranty terms specified in your order confirmation or product documentation. In general:
We will assess the defect and determine the appropriate remedy (repair, replacement part, or replacement unit)
The buyer is typically responsible for shipping costs to return defective items, and we cover the cost of sending repaired or replacement items
Warranty claims must be supported by evidence of the defect
To be eligible for a refund or exchange, returned products must meet the following conditions:
Be in substantially the same condition as when delivered
Include all original accessories, manuals, and documentation
Be returned in the original packaging or equivalent protective packaging
Be clean, drained of fluids (if applicable), and free of hazardous materials
Products that show signs of excessive wear, improper use, or unauthorized modification will not be eligible for refund and may be returned to you at your expense.
Order cancellation terms depend on the order status:
Before production begins: Orders may be canceled free of charge
After production has started: Cancellation may incur a fee equal to the cost of materials and labor already incurred
After shipment: Orders cannot be canceled but may be eligible for return under the terms of this policy
For international returns, the buyer is responsible for all customs clearance, duties, and taxes associated with the return shipment unless the return is due to our error. We recommend using a reputable international carrier with tracking service for return shipments. We are not responsible for items lost or damaged during return transit.
We reserve the right to make exceptions to this policy on a case-by-case basis. Any exceptions will be documented in writing and signed by an authorized representative of HuaZhi.
